Job description
Responsibilities:
Provide comprehensive support of front desk responsibilities
Responsible for welcoming clients and guests, registering with building security, and providing beverage/food services onsite
Manage and monitor all meeting room reservations, including reserving meeting rooms for employees, assisting with video conference connections, and handling of office space reservations for visitors
Screen and route incoming phone calls
Assist with general administrative duties, including restocking of pantries, maintaining coffee machines and meeting set-up and clean-up
Maintain clean, orderly appearance of reception area and meeting rooms at all times
Maintain office security by following safety procedures and controlling access
Assist with mailroom duties
Assist Office Manager and Administrative teams with special projects
Provide additional administrative support to the Office Manager
Requirements:
High School Diploma or equivalent
Minimum 2-3 years of pertinent office or guest services experience in financial services
Fluency in English (Reading/Writing), Cantonese (Reading/Writing) and Mandarin (Moderate)
Expertise in Microsoft Office Suite (Outlook, Excel, PowerPoint, Teams)
Excellent organizational and multi-tasking capabilities, with critical attention to detail
Experience dealing with all levels of employees and visitors, while maintaining confidentiality
Demonstrated initiative – possesses the motivation and willingness to go beyond what is required
