Responsibilities:
- Provide administrative and secretarial support to the team and extended teams
- Support the team on administrative logistics such as creating PO, claiming expenses, system updates, etc.
- Manage team’s calendars and meeting arrangements
- Handle travel arrangements and detailed travel itineraries
- Organize department meetings and team building activities
- Track team spending, invoice/bill management and budget reporting
- Manage contract routing and signing process
- Facilitate process concerning various company compliance policies such as on gifts, hospitality and travel, procurement and sponsorships
- Act as the point of contact for managers, employees, clients and other external partners
- Manage team SharePoint and database
- Prepare reports and presentation decks as needed
- Support internal and external events
- Contribute ideas and support well-being activities organized by AA community
Requirements:
- Diploma holder or above in business or related subject
- A minimum of 3 years’ working experience as an Executive Assistant, Personal Assistant, Secretary, Administrative Assistant or similar role (prior experience in tech / IT industry is an advantage but not mandatory)
- Outstanding organizational, problem-solving and time management skills
- Pay attention to details
- Strong organization, planning and coordination skills
- Ability to multi-task and juggle simultaneous demands
- High integrity and self-motivated
- Excellent verbal and written communications skills (English and Chinese (Cantonese/Mandarin))
- Excellent MS Office knowledge (e.g. MS Outlook and MS Teams) and familiar with office gadgets and applications (e.g. e-signature)
- Have a growth mindset and is confident, positive, and a cheerful team player with high team spirit
