Job Duty:

A. Administrative Assistant (70%)
- Arrange office meetings; consolidate, print, distribute, and file related documents.
- Manage non-trade material purchasing, fixed assets, and vendor relationships.
- Coordinate staff travel bookings in compliance with group travel policies.
- Collaborate proactively with internal departments and vendors to improve cost efficiency in office management.
- Oversee building lease and office fitment issues to maintain operational compliance.
- Manage office security, safety, hygiene, facilities readiness, and admin services.
- Organize staff activities including annual dinners and team-building events.
- Handle administrative projects and ad hoc projects as assigned.
B. Personal Assistant to President (30%)
- Provide secretarial and administrative support to the President, APAC.
- Organize and manage the President’s appointments and business meetings.
- Arrange travel for the President and senior management from headquarter.
- Prepare correspondence, meeting minutes, business proposals, and presentation materials.
- Liaise and coordinate with internal and external parties regarding daily business and personal matters.
- Ensure efficient and smooth office administration and operations.
- Perform ad hoc duties as assigned.
Requirement:
- Diploma or above in any discipline.
- At least 1-2 years of experience in office administration, executive assistance, or related roles is preferred.
- Experience supporting senior management or executives is an advantage.
- Strong organizational and multitasking abilities.
- Good communication and interpersonal skills.
- Proactive, detail-oriented, and able to work independently.
- Ability to work well under pressure.
- High level of discretion and confidentiality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with office management software/systems is a plus.
- Proficiency in Cantonese, Mandarin, and English (both written and spoken) is required.
