Responsibilities:
- Communication and Collaboration: Facilitate communication and coordination between different teams, functions and departments, clients, vendors and external partners to ensure seamless workflow and task completion.
- Project Management and Tracking: Assist in project management tasks, tracking open tasks, deadlines, progress update and deliverables.
- Document Preparation: Prepare and organize reports, presentations, and other documents
- Information Management: Organize and manage documents, files, and databases to ensure easy accessibility and retrieval of information.
- Calendar Management: Manage the calendar of Head of Design & Construction, scheduling meetings, and ensure timely reminders for important appointments.
- Meeting Coordination: Arrange and prepare materials for meetings, take minutes, and follow up on action items.
- Communication and Correspondence: Handle incoming emails, calls, and messages, filter and prioritize them, and draft responses on behalf of the Head of Design & Construction.
Requirements:
- Bachelor’s degree in any discipline.
- At least 5 years of proven experience as an Executive Assistant or in similar role.
- Experience in the construction industry is an advantage.
- Strong organizational and multi-tsking skills.
- Excellent verbal and written communication abilities.
- Ability to work to tight deadlines and produce good quality work.
- Ability to work independently and as part of a team.
- Self-motivated and resourceful.
- Proficiency in MS Office suite and project management tools.
