Key Responsibilities:
Administrative & Personal Support:
- Manage and maintain the executive’s schedule, including appointment coordination and last-minute changes.
- Prepare documents, reports, and presentations as needed.
- Handle confidential matters with discretion and professionalism.
- Manage incoming communications (emails, messages, calls) and respond or escalate when necessary.
- Maintain and organize personal and business files, ensuring easy accessibility.
Travel & Logistics Coordination:
- Arrange and manage domestic and international travel itineraries, including flights, accommodations, and visas.
- Ensure seamless transportation arrangements, including chauffeur bookings, airport pickups, and personal errands.
- Accompany the executive on business and personal trips when required.
On-Call Assistance & Problem-Solving:
- Be available on-call during night hours to assist with urgent requests and unexpected situations.
- Act as the first point of contact for any issues that arise outside of daytime PA coverage.
- Ensure personal comfort and requirements of the executive are met at all times.
Household & Office Coordination:
- Liaise with household staff (e.g., security, domestic helpers, drivers) to ensure smooth operations at the private residence.
- Coordinate with office personnel to relay any urgent matters that require next-day action.
- Ensure that both the residence and office are well-maintained and stocked with necessary supplies.
Event & Social Engagement Assistance:
- Assist in planning, organizing, and coordinating private gatherings, events, and social engagements.
- Arrange reservations for restaurants, entertainment, or other leisure activities as needed.
- Manage guest lists, invitations, and RSVP follow-ups.
Qualifications & Skills:
- Experience: Previous experience as a Personal Assistant is preferred. Candidates with backgrounds supporting high-profile individuals (e.g., celebrity PAs, C-suite executives) are highly welcomed.
- Language Skills: Native Cantonese speaker with fluent English and Mandarin proficiency.
- Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and common office software.
- Soft Skills: Strong organizational, multitasking, and problem-solving skills. Ability to work independently, maintain confidentiality, and exercise discretion in sensitive matters.
- Flexibility: Willing to work unconventional hours, handle last-minute changes, and travel when required.
Working Conditions:
This role demands high flexibility in terms of working hours, responsibilities, and locations. The candidate must be on-call during night shifts and ready to handle tasks that ensure the executive’s comfort and efficiency. Work locations may vary between the private residence (Hong Kong Island South) and the office (Central) depending on the needs of the executive.
Compensation & Benefits:
- Salary: Competitive, up to HKD 40,000 per month
- Annual Leave: 12 days per annum
